How Variable-Data Printing Works for Partner Networks
Variable-data printing fills a print template with different details for each partner, or each recipient, and produces press-ready files automatically. In a partner network, a location personalizes a brand-approved flyer, card or mailer, approves a proof online, and the order goes straight to the printer or mail house, with the brand locked throughout.

What is variable-data printing?
Variable-data printing (VDP) is printing where some of the content changes from one version or one piece to the next, pulled from data instead of typed by hand. The design stays the same; the name, address, offer, photo or map changes.
Partner networks use it at two levels. Per partner: each location gets its own version of a flyer or business card with its details. Per recipient: each piece of a direct-mail drop is personalized to the person it's mailed to.
What is variable print-on-demand?
It's VDP combined with print-on-demand: nothing is printed until someone orders it, and each order is personalized. Instead of printing thousands of generic brochures and shipping them to locations that may never use them, each location orders the quantity it needs, with its own details, when it needs it. Less waste, nothing out of date sitting in a back room, and no stickers over the old phone number.
How does variable-data printing work, step by step?
- A designer builds the template, marking which fields are locked and which are variable.
- Variable fields are linked to data: the partner's profile (name, logo, address, phone, hours) or a mailing list.
- The partner opens the template, reviews what filled in, and edits the open fields, like the offer or a local photo.
- A proof is generated exactly as it will print, and the partner (and an approver, if needed) signs it off online.
- The system produces press-ready files: correct size, bleed, color and fonts, one file or one merged file per order.
- The order goes to the printer or mail house with its quantity, stock and shipping details.
What can partners customize on brochures, flyers and business cards?
Whatever the template opens. Typically: the person's name and title on a business card; the location's address, phone, hours and website on a flyer; the offer and dates on a promotion; sometimes a local photo from an approved set. How are print proofs approved?
Online, before anything is printed. The partner sees a proof generated from the real print file, not a mock-up, and approves it. When a piece has open text or a regulated claim, it can go to a second approver at corporate first. The approved version is stored, so there's a record of exactly what was printed.
How does a template produce press-ready artwork?
The template is built to the printer's specification from the start: trim size, bleed, safe area, color profile and embedded fonts. When the variable fields are filled, the system renders a print-ready PDF to that spec, so nobody has to fix files by hand. Text that doesn't fit is caught at the proof, not at the press, by limiting field lengths or shrinking text within set bounds.
How are print orders routed to fulfillment partners?
By rules: which printer handles which product, region or rush level, and what information goes with each order (files, quantities, paper stock, finishing, shipping address and date). Many programs use more than one printer, for example a national printer for standard items and local shops for signage. Orders should flow to them automatically, with status coming back so the partner knows when to expect delivery.
How does personalized direct mail work?
The partner picks an approved mail template and supplies a list: their own customer list, a list they purchase for their area, or every address on chosen carrier routes. Each piece is personalized from the list (name, address, sometimes an offer or the nearest location), while the partner's own details fill in from their profile.
Before files go to the mail house, addresses are usually standardized and checked against postal databases, duplicates are removed, and the list is sorted for postage rates. The mail house receives one merged, press-ready file and the finished list.
Can partners upload their own mailing lists?
Usually, yes, and they should be able to. Partners know their customers. A good system maps the columns in whatever spreadsheet the partner has, flags bad or incomplete addresses, and keeps each partner's list private to that partner. It should also make clear what the list will be used for, and keep it only as long as needed.
